Records, and how long they are heldThis site, this mailbox, this filing cabinet

This page describes what this website holds, what the mailbox holds and what the office keeps on paper and on disk, with the period each is kept for. It is written about this site and this office specifically, so there is no cookie table on it: this site sets no cookie, and a table of cookies that do not exist would be a work of fiction.

Where a period comes from a statute the statute is named, so the figure can be checked rather than taken on trust.

What this website is made of

Every moving part of this site, and where it runs
RefPartWhat it doesWhere it runs
S1The pagesEight files of text, tables and drawings, served as they are writtenServed to the browser
S2One stylesheet, one scriptLay the tables out; open the tree; sort and filter the sheet; run the two calculatorsIn the browser
S3The two calculatorsDivide and add months to a date; what is typed in is never sent anywhereIn the browser
S4The drawingsDrawn in the markup of the page itself, so no image is fetchedIn the page
S5One webfont requestFetches the two typefaces this site is set in from Google FontsA request to Google

S5 is the only request this site makes to anyone other than its own server, and it is listed because it is the only one. There is no analytics script, no tag manager, no advertising pixel, no social embed, no chat widget, no map frame and no cookie set by this site. Nothing on any page reports back that you read it, and the sort buttons above the specification sheet rebuild the table in your own browser without asking the server for anything.

There are no forms either. The two calculators have input fields and no submit destination: the figures are divided or dated where they are typed, and closing the page is the end of them.

The mailbox, and what sits in it

What arriving at the address below leaves behind
RefHeldKept for
M1The message, its subject and the address it came fromAs long as the matter is open, then as below if it became an order
M2Anything attached to itThe same period as the message it arrived with
M3The reply sent backWith the message, as one thread
M4An enquiry that came to nothingDeleted with the rest of the thread once it is plainly closed

The mailbox is read by the office, not by a system that classifies it, so an enquiry is answered by someone who then has to go and look at a bay. That is also why the pages here ask for a line reference, a unit format and a residual-life figure in the message: a specification that arrives complete is answered from the sheet, and one that does not starts with the same questions every time.

Trade records, and the period each is held

What the office keeps, why it keeps it and for how long
RefRecordWhy it existsHeld
T1Goods-in recordTies a batch to the delivery it arrived on and the count agreedSix years
T2Agreed specificationSays what was ordered, field by field, including residual lifeSix years
T3Pick list and delivery noteSays what left, by batch, and what was signed forSix years
T4Batch and date registerLets a batch be traced to its supplier and to everyone it went toShelf life, then six years
T5Breach notes and bay readingsShows the condition a line was held in while it was hereSix years
T6Label check sheetsRecords which particulars were present and legible at goods-inSix years
T7Accounting recordsRequired of the company by statuteSix years

Six years is one period applied to everything, and it is chosen rather than minimal. Section 388 of the Companies Act 2006 requires a private company to keep its accounting records for three years from the date they are made; the value added tax rules require records to be kept for six. Keeping two clocks on one filing cabinet is how documents get destroyed on the wrong one, so the longer period is applied to the lot.

T4 runs from a different start because it has to. A batch register that expires before the goods do cannot answer the one question it exists for, so the clock on it starts when the last unit of that batch passes its durability date rather than when the record was made.

Asking what is held

A request about what this office holds goes to the mailbox below and should name the thing it is about: an order, a batch, a consignment, or an email thread. The narrower the request, the shorter the answer, and the answer is given in writing from the records named in the table above rather than from memory.

The company itself is on the public register. Its registered name is QTYONE UK LTD, its company number is 17428271, its D-U-N-S number is 235115333, it was incorporated on 30th August 2026 in England and Wales, and its registered office is 3 Wren Street, Preston, PR1 6TB. Officer details are held on that register and are not reproduced here. The SIC codes it is registered under are 47750, retail sale of cosmetic and toilet articles in specialised stores, and 46900, non-specialised wholesale trade.
